Technology Networks, a LabX Media Group company, is hiring an Office Assistant who will be the first point of contact for our Sudbury, Suffolk office and perform the day-to-day facilities function, administrative, and reception duties. The ideal candidate will be extremely detail-oriented with the ability to think ahead and manage competing priorities across three key office priorities.
Maintain inventory of office, kitchen, and cleaning supplies, building and placing orders
Manage TN shared calendar for all meeting room bookings and ensuring meeting room etiquette is observed and followed
Set up mail, and package shipments, accept deliveries, and complete mail runs
Communicate with maintenance services, scheduling appointments and coordinating work
Coordinate tradeshow attendance, booth and material shipments, registrations, and bookings for company-attended tradeshows and conferences
Book hotels, reservations, and meeting rooms at local venues and taxi/airport transportation coordination for team travel requirements
Support the Accounting and HR departments with over-flow work including data entry, filing, scanning, and other ad hoc support duties
Support staff event planning and coordination
Answer phone calls and emails regarding general office inquiries
Build and maintain spreadsheets using excel
Support in the delivery of the 2023 H&S strategy and objectives
Conduct general office and impromptu errands
Management of Internal Director/Managers Meetings including booking, arranging the agenda, attending, and taking minutes and post-meeting action points
Utilities management including – meter readings, waste disposal, security infrastructure (CCTV), and other related priorities
Maintaining relationships and action requests via ‘Approved Contractors’ for the provision of office cleaning services and additional maintenance objectives
